Creating Hummingbird Clinical Passwords
All HBC users must be entered into PIM with the correct Role selected as PRIMARY role. Additionally, each person’s Email address must be entered in to PIM. There may be a short delay from the time the information is entered into PIM until the information is viewable in the HBC Admin Console. Staff are entered into PIM/ADMIN/Persons; Medical Director and NPs are entered into PIM/ADMIN/Physicians.
After the data transfers, each HBC user will be listed on the HBC Admin Console. The HBC SuperUser selects the worker(s) needing a password and an Email containing a unique link will be sent to the workers email. The worker should access their Email and click on the link. The link connects to the HBC Registration page where the worker will create their password.
There are password requirements:
- Passwords must be 6 to 20 characters in length
- Password should always be a mixture of lower & upper case letters and numbers
- Passwords cannot be a dictionary word that is 4 or more characters long
- Passwords cannot have more than 4 identical characters in a row
- Passwords cannot be letters that are side-by-side on a keyboard
- Passwords cannot contain the users email address, login, first name, last name or PAS ID.
Each User is responsible for their password and for maintaining its private status. For security reasons, users should NEVER share passwords and should create new passwords on a regular basis
Deleting HBC Users and Passwords
When an employee terminates employment, enter the person’s Termination Date in the PIM/Admin/Persons or Physicians. An email will automatically be forwarded to tech support. All other flags and job description records remain intact. Follow up with tech support to ensure that employee no longer has access to the program(s).
Entering Employee Email Address into PIM
In order to implement and to utilize HBC email function and for your employees to create their HBC password, each employee’s email address must be listed.
Enter the user’s entire email address into the email address field in PIM (such as linda@hospiceusa.com). The program will use the full address from PIM.
Step-by-Step Password Procedure
SuperUser Initiates the Password Process
SuperUser will login to the HBC Admin Console. Click on “Workers” in bottom menu.

Each HBC user will show up on the worker listing. Click on the “Send initial registration request” or “Send password reset request” as appropriate for each worker/user needing a HBC password.

Click the send button (top right corner) when all applicable workers/users have been checked.

An Email with a unique link will be sent to the worker’s Email address.
NOTE: Users will need their ID number in order to create their log in. See it to the left of their name in the Worker listing. A staff list may be run from PIM or use CTL P to print the list from the Admin Console.
HBC User Creates their Password
The worker will need to access his/her Email and look for an Email from HBC Registration. Look in Junk Mailbox if necessary.
Within the Email will be a box or link to click on and load Hummingbird
PLEASE NOTE: You may, depending on your Email program or set-up, receive a message indicating that the link in the Email message has to be “turned on”.

Click ‘OK”, and then follow the directions.
In this case, the directions are to click in the “Info Bar”.
This displays a dropdown menu, where you can choose the option to “Turn On Links”.
Once the link is turned on, click on it again, and it will take you to the HBC Registration Page:

Following the on-screen instructions, enter your desired password two times and answer the verification question. Note that the “Login name” that displays will be your login name when accessing the HBC program. The login name is generated by the program; make note of it.

In the sample above, the verification question is the Person ID #.
The other options you may see are SSN and/or Date of Birth depending on site preference.
After clicking the “REGISTER” button you will receive confirmation from the program that your password has been set.

If an unacceptable password was entered, you will get a message informing you that you need to try again.

The user will be responsible for remembering their password and keeping it private.
